Policy Name : Attendance and Reporting for Duty

Purpose

    To ensure that staff has adequate time to prepare for the upcoming shift.

    In order to achieve the most cost efficient operation in the Front Office, every Department Head is responsible to maintain proper control of staff attendance and overtime record and ensure that all vacation credits are appropriated based on the occupancy of the hotel.

Policy

    It is the policy of Hyatt Regency Dongguan that all staff should report to their designated area 10 minutes prior to the shift start time.

    When an employee is absent, the share of the work must be performed by other(s).

    Our Hotel does not encourage overtime. However, should overtime be required, priority would be to compensate by arranging time-off-in-lieu as soon as feasible to ensure employees will have sufficient rest and relaxation.

Overtime is to be cleared on a month-to-month basis.

    Overtime pay will only take place if it has been clearly established that time-in-lieu cannot be instituted in the short run.

Procedure

For Rank & File

    1. Report to Back Office administrative area in correct and neat uniform.

2. Read the department’s log book.

3. Attend hand-over briefing.

For Department Heads

    1. Ensure that all employees reporting to him are aware of their contractual

    obligations in relation to attendance.

2. Monitor the attendance of subordinates on a daily basis.

    3. Review frequently the attendance records of employees reporting to him.

    4. Commend good attendance and institute counseling advice or warning to those

    whose attendance is unsatisfactory.

    5. Institute disciplinary action through Hotel’s disciplinary process to an employee

    whose attendance continues to be unsatisfactory.

    6. When plotting the roster for future dates, as much and soon as possible, the

    overtime and Public Holidays accruals must be cleared. Of course, this is when

    occupancy permits.

    7. Ensure that the Overtime Record is updated and staff acknowledges on every

    claim.

    8. Overtime claim record must reflect the following criteria:
