Ch.1: Adding Text and Picture Layout to Slides, using Diaslayout”

    1.a Opening slide layout window and selecting slide layout

    ; Click once on the black arrow next to Ny præsentation (New presentation)

    ; Select Diaslayout

    ; Select a suitable layout, e.g. heading only, by clicking on the layout in the red circle

    Your layout has now changed, and you can add text in the textboxes later.

    This is how your slide should look by now.

1.b Making slides with similar layout

    ; Make more slides with a similar layout by clicking the arrow next to the heading only- window,

    choosing Indsæt nyt dias (add new slide) from the menu.

    Now you have more slides with identical layout.

    You can, of course, always change the layout of

    a slide by clicking on the thumbnail slide to the

    left, selecting a different layout in the slide

    layout window to the right.

    You can also insert new elements on a slide

    that already has a predefined layout.

    For example, you can add more textboxes, by

    choosing Indsæt>> Tekstboks (insert>>

    textbox)

The next step is to add text and pictures to each

    slide.

     Insert the pictures you want displayed on each of your slides. ;

1.d Adding text to each of your slides

    When you have inserted pictures on each of your slides, you are ready to add your text in each of the predefined text boxes.

    ; Click inside the textbox(es) on each of the slides and type the text you want displayed:

    When you have added text and pictures to each of the slides, the next step is to add sound (e.g. music) to play along with the presentation. This is done either by INSERTING a sound file which is

    linked to the presentation and saved on your computer’s hard disk, or by REFERRING to an audio

    CD which is inserted in your computer’s CD-drive. In the following chapter, both possibilities are described. You are, of course, only supposed to choose one of them.

Ch. 2: Inserting Sound

2.a Customising the work area.

    ; Open your presentation and go to the slide on which you want to start playing sound.

    ; Open the animation panel by choosing Diasshow from the menu and then selecting

    Brugerdefineret animation…(customised animation)

2.b Inserting sound 2 options

    You can insert sound in two ways either as a digital sound file or by referring to a piece of music on a CD in your computer’s CD drive.

    The first possibility means that you can store the music directly in the folder in which you save your

    PowerPoint, whereas the second means that you need to insert your AUDIO CD in your computer’s

    CD-Rom drive in order to play the sound.

Both methods are illustrated below.

     The first part, option 2.b.1 concerns mp3/wav insertion

     The second part, option 2.b.2 concerns playback from CD-drive

2.b.1 Inserting an mp3 file or a wav file:

    ; Select Indsæt >> Film og lyde >> Lyd fra fil (Insert>>Film and audio>>Sound file)

A new dialogue box called Indsæt lyd opens (see the illustration below).

    ; Browse your hard disk to locate the mp3- or wave file you want to insert.

    ; When you have located it on a computer drive, select it and press OK.

Another dialogue box appears, asking, “Is the sound to be played automatically in the slide show? If

    not, you need to click on the sound (icon) when you want to play the sound”

    ; Click Ja (You hereby choose automatic playback, but you can still choose when and how).

A small sound icon appears at centre of your PowerPoint slide, and details appear in the animation

    window to the right:

    By clicking the small black arrow

    next to the song title in the

    animation window, you can

    define exactly when the sound is

    to begin and end.

    Tip:

    If you click and drag the sound

    icon from the slide to the grey

    surroundings (see the green

    broken line/arrow), it will not

    appear on the actual slide when

    you play the show, but you can

    still easily find it and edit

    animations etc. while working on

    your presentation.

    ; Right-click on the sound icon and select Afspil lyd in the menu to check that it works.

    (Make sure the sound is on and the volume is turned up).

    ; Stop the music again by clicking on the icon once.

    ; To make sure that the sound does not stop during slide transition, right-click on the sound icon

    once again, and select Rediger lydobjekt.

    A dialogue box called Indstillinger for lyde (Sound settings) appears.

    ; Check the box next to Gentag, til showet afbrydes (Repeat until the show is interrupted).

    ; Click OK

    Note that you can see the exact

    duration of the song, in this case 5

    minutes and 24 seconds, which is what

    you could also choose as the length of

    your presentation, if you want the

    music and the slide show to match.

NB: If you choose to insert mp3- or wav files, make sure to save them in the folder in which the ppt-

    file is also located. If you do not do this, it may be difficult for PowerPoint to locate the sound file when

    you are playing the presentation.

2.b.2 Playback from audio CD

    Insert the audio CD in your computer’s CD-drive. Follow the steps below:

    Indsæt (insert)>> Film og lyde (Film and sound)>> Afspil musiknummer fra lyd-cd…(play from cd)

A dialogue box appears (see below)

    ; Make sure to check the box next to Gentag, til showet afbrydes (repeat till the show stops) to

    make sure the music restarts when the slide show does. If you, for instance, want to play the 2nd piece of music on the CD and none of the others, do as

    shown below: (As you can see, this piece of music lasts for 2 minutes and 9 seconds)

    You can also choose to play two

    pieces, in which case you just

    enter the relevant numbers in the

    blank fields below Start and

    Slut (end).

    ; Click OK.

    Ch. 3: Adjusting Automatic Slide Change

    The next step is to make the presentation change slides by itself:

    ; Click on the small black arrow next to the window to the right

    ; From the menu choose Diasovergang (Slide transition)

The window displays a long list of animations to choose from, and if you click on one, you can watch

    a preview of each. You can choose similar animation for all transitions, which I highly recommend,

    because this makes your presentations visually coherent.

    ; Choose the transition you prefer, e.g. Udton jævnt (fading smoothly)

    ; Select speed, langsom, mellem, hurtigt (slow, medium, fast).

    ; Make sure there is no sound at transitions - Ingen lyd

    ; In the section Fremfør dias (change slide) make sure that Ved klik

    med musen is NOT checked.

    ; Check the box Automatisk efter….. (automatically after….)

    ; Select the exact duration (e.g. the duration of the piece of music,

    divided by the number of slides). In this example, the music lasts for 4

    minutes and 12 seconds, and there are 4 slides, so each slide will

    appear for 1 minute and 3 seconds.

    NOTE: You do not have to make all slides appear

     for equally long time, but if you do decide to do so,

     check Anvend på alle dias (apply to all slides)

     In the left window, where all slides are displayed, you will notice that next to each slide a small icon, looking like a moving star, has appeared. By clicking on an icon, you can watch a preview of the slide transition. If you decide to change the slide transition for one or

    more slide(s), just select the slide in question and

    select another type of animation in the animation

    window.

    To make sure that the music and slide transitions function you need to double-check the music animation as described below:

    ; Open the panel Brugerdefineret animation (customised animation)

    In this dialogue box, the sound file is called Medie (x). To animate, follow the steps below:

    ; Click the arrow next to medie (x)

    ; Select Indstillinger for effekt…

     (effect settings)

    A new dialogue box called Afspil Lyd

    appears.

    ; In the section “Start afspilning” (start

    play-back) select Fra begyndelsen

    (from the beginning).

    ; In the section “Stop afspilningen”, (stop

    play-back), select Efter: and select the

     number of the slide after which you want

    to the music to stop (in this case after

    slide no. 4, which is the last slide).

    ; In the section “Forbedringer, make sure

    that it says Ingen nedtoning (no toning

    down).

    ; Before you click OK, select the tab

    Tidsindstilling.

; Select Start >> Efter forrige (after previous).

    ; Select Forsinkelse>>0 seconds (or what you prefer).

; Gentag >> (ingen) (none)

; Click OK
