    2. RESPONSIBILITIES OF THE BIDDER:

    1. Terms of delivery: Delivery of goods to be fully ensured by the contractor(s) to ACTED

    Wau warehouse.

    2. Date of delivery: Within 2 weeks maximum after signature of contract

    3. Validity of the offer: Minimum 1 month after tender closing date

    The answers to this tender should include the following elements:

    ; A written quotation including all the product specifications, the price per unit, quantity proposed

    and unit, and total price. To fill part B of this document is compulsory so that the bid is

    considered;

    ; All the material should be new and of best quality to last for long. ACTED will ask the bidders to

    provide sample of some material before signing the contract.

    ; All transportation costs to ACTED warehouse in Wau are included in the bid, including the cost

    of loading and off-loading

    3. GENERAL CONDITIONS:

    1. Bidders are requested to fill in, sign, stamp and return Part A, Part B (Offer Form) and Part C

    (according to ACTED format);

    2. Bidders must also attach a copy of Company registration certificate and/or licence; st3. The closing date of this tender is fixed on 1 May 2012, at 5:00pm Juba SOUT SUDAN time both for

    e-mail applications and in-hand delivery. Late offers will not be considered and will automatically be

    rejected.

    4. The offers must be submitted to ACTED office in JUBA SOUTH SUDAN OFFICE in a sealed envelope ndwith the mention “not to be opened before 2 may 2012 and the Tender reference (see above, on

    first page), by hand delivery to the following address:

    8. Unsealed envelope and late offers will not be considered;

    2. Please fill all required information in the Company Profile Form (Part C) and attach your company

    requisites and registration documents.

    3. Put all required documents (as listed under Section 5 below) signed and stamped into an envelope and

    seal & stamp it.

    4. Make a copy of these documents and include them in a separate envelope when applying to this tender. 5. Write the tender reference on the 2 envelopes as indicated above

    6. Send both envelopes by hand delivery to the address mentioned above.

    7. If you are not in a position to send your offer(s) by hand delivery, you can send your offer(s) over e-

    mail to ACTED by respecting the instructions below:

    a. Scan your offer(s) after it is signed and stamped;

    Note:

    a. Bidders may provide offers only for 1 batch or item. However, filling all information regarding

    every batch / item in the Offer Form (e.g. unit prices) is compulsory; any missing information may

    lead to rejection of your offer(s),

    b. Quantity can be changed, in that case ACTED will consider unit price as reference during the offers’

    selection.

    c. The submission of offer(s) to this call for tender may not result in the award of a contract, d. ACTED will not be responsible for any costs or expenses incurred by the Bidders in connection with

    the preparation and submission of the bids to ACTED,

    e. Sample provided to ACTED by all unsuccessful bidders will be returned. The samples provided by

    the tender winner will remain ACTED property (Note that only shortlisted suppliers will be asked

    for samples submission)

    f. Only shortlisted suppliers will be further contacted. Should you not receive confirmation from

    ACTED within 7 days, please consider your offer as not pre-selected,
