    1 Overview of transaction PPPM

Business Process Description Overview

     The transaction PPPM is for maintaining competence profiles for positions. Competence profile includes the relevant competences for the specific position and target values in a scale from 1 (lowest) to 5 (highest). The employee’s competences are assessed against the target values by conducting Competence Assessment together with the line manager. Typically the Competence Assessment (CA) is conducted in conjunction with Development Discussion. The separate tool for CA can be found in the portal. Typically competence profiles are inherited from a Global Job Description which is assigned to a position. Therefore PPPM is normally used when there is a need for complementing the competence profile that is inherited from a Job. In addition PPPM can be used for creating a competence profile for a position which does not have a suitable Global Job Description. Global Job Descriptions, including competences and target levels, are maintained centrally.

Output - Results Comments

The result is that the position has competences There is no need to create competence profiles in PPPM if a Global Job Description is and target levels assigned. Competence assigned to position and the competences in the Global Job Description are sufficient. Assessment can therefore be conducted. PPPM can not be used for maintaining position descriptions (e.g. texts) for positions. The correct transaction for that is PO13.

    For viewing the competence profiles also transaction PPPD can be used. PPPD is the display mode of the PPPM.

2 Transaction access

Via Menus Human Resources -> Personnel Management -> Personnel Development -> Profile

    Via Transaction Code PPPM

    Using transaction code means that the user types the transaction code in the white command box which is located in upper left hand side corner in the SAP Easy Access Menu and presses enter. The transaction code is not case sensitive.

3 Navigating and searching in PPPM

    The typical screen in a SAP transaction has three parts: the Search area, the Selection area, and the Work area. This is also the case in transaction PPPM. The search area contains different search criteria, and the results of a search are displayed in the selection area. The work area is where the maintenance of data takes place.

    The competence profiles can be maintained on the position, in case there is no Global Job Description available. The position to which the competence profile needs to be maintained can be searched in two different ways, either by using Search Term or Structure Search

3.1 Searching using Search Term

    Open the Position menu in the Search area and press Search Term, see below (or press Position directly).

    Type the name of the position (not case sensitive, just make sure that the spelling is correct) and press find. In the left picture the system will search for all the Service Engineer positions. The asterix in the end of the position name makes sure that also positions such as Service Engineer, Mechanical are included in the search. Searching without the asterix means that the system is looking for exact match.

    It is also possible to search by the eight digit position number, see the picture on the right.

From the selection area select the position by double clicking it and the competence profile will appear in

    the Work area

3.2 Searching using Structure Search

    Open the Position menu and press Structure Search. The Wärtsilä’s organizational structure will open in the Selection are.

    The user can navigate in the structure and when the correct position is found it is selected by double clicking it.

    4 Reading the Competence Profile

    Once the position is found, the competence profile is displayed in the work area.

5 Maintaining the Competence Profile

    When creating the competence profile or adding single competences to a position, one needs to select the competences from the Global Qualification Catalogue and then give the target values for the selected competences. Please note that if a Global Job Description is assigned to the position, and the competences are sufficient, this manual maintenance is not needed as the competences and the target levels are inherited automatically from the Global Job.

The Global Qualification Catalogue in SAP HR is maintained centrally.

    First, search the position which will be maintained. See the chapter 3 for further information. In the example case below the position is searched using the Structure Search option.

    3. Choose the competences for position from the catalogue by marking them, see next page

    choosing from the list. Typically target levels can not be changed when they are inherited from a

    Global Job Description.

By pressing the round object the scale is displayed and pressing the Description button the user can see

    the definitions.

5.1 Copying a Competence Profile from one position to another

    In case several positions have same competence profile the user can copy the profile from position to another. Note that while copying the competences, the possible link between the Global Job Description and position is not copied. Only the competences and target levels are copied. Therefore it is recommended to link a Global Job to all positions when possible and make possible additions position by position.
