SOCIETY OF WOMEN ENGINEERS EXECUTIVE BOARD DESCRIPTIONS

    INDUSTRY RELATIONS COMMITTEE OFFICER DESCRIPTIONS

CAREER FAIR CO-CHAIRS:

    ? Plans the College of Engineering Career Fair in cooperation with Tau Beta Pi ? Organizes committees and works with them to help accomplish all necessary tasks ? Maintains and updates the materials in the Career Fair database as well as all corporate contacts

    ? Manages Career Fair finances

    ? Maintains professional correspondence and relationship with company representatives ? Work over the summer is required as well as a large amount of time and dedication in the fall

AWARDS BANQUET/SCHOLARSHIP:

    ? Organizes SWE Awards Banquet in January and forms a committee for support ? Researches, promotes and distributes scholarship information throughout the year ? Finds corporate support for scholarships and other awards

    ? Responsible for nomination for the SWE Teaching award presented at the ASEE awards ceremony in March

PROFESSIONAL DEVELOPMENT:

    ? Organizes Professional Development Day

    ? Sponsorship letter for PDD goes out with Career Fair mail out in February ? Responsible for hosting at least one winter event such as workshops and seminars and one fall event after PDD

    ? Maintain relationship with ECRC and receive career skills training ? Organizes a pre-intership fair event in the winter semester

NETWORKING/ALUMNI CO-CHAIRS:

    ? Arrange and promote networking presentations with companies

    ? Arrange at least one event with Detroit SWE per semester

    ? Maintain database of alumni and alumni relations

    ? Oversee the Alumni Mentorship Program

    ? Arrange SWE alumni events, such as SWEet night

    ? Responsible for Alumni Corner in Specialist

    ? Inform members of national and regional SWE opportunities and updates, including scholarships, elected offices, online services, and long-term plans

MULTICULTURAL:

    ? Organizes SWE Participation in multicultural and diversity events ? Enters SWE in the Boeing Multicultural Award

    ? Responsible for at least 3 Multicultural events a semester

2009 REGIONAL CONFERENCE CO-CHAIRS

    ? Create and pitch bid to host 2009 SWE Regional Conference at U of M (funding,

    houring, tours, career fair, sessions, speakers, food, all other logistics)

    ? Creativity and enthusiasm required for this new position

    OUTREACH COMMITTEE OFFICER POSITIONS

HIGH SCHOOL RELATIONS:

    ? Organizes one Shadow Day/Overnight per semester

    ? Arranges high school visits (at least 1 visit per month)

    ? Keeps in contact with WIE to see if there are postcards/call outs to pre-accepted U of M Engineering girls

    ? Car is recommended

FRESHMAN OUTREACH:

    ? Recruits freshmen and upperclassmen, including summer mailing and call-out to incoming students.

    ? Organizes monthly events for the participants to meet and build relationships ? Organizes fall Welcome Picnic

     Arranges study and social groups

    ? Publicize SWE events to freshmen

YOUNG INTEREST:

    ? Arranges elementary school visits

    ? Organizes other outreachtutoring, Hands-on Museum, take-your-kid-to-work day

    ? Car is recommended

MIDDLE SCHOOL RELATIONS

    ? Arranges middle school visits (at least 1 visit per month)

    ? Organizes other outreachtutoring, academic team support, take-your-kid-to-work day

GIRL SCOUT RELATIONS:

    ? Works with Girl Scout council and arranges activities with individual troops (at least 1 event per month)

    ? Organizes a Girl Scout Day each semester

SUMMER ENGINEERING EXPLORATION (SEE) CO-CHAIRS:

    ? Directors for Summer Engineering Exploration program for high school women (week long summer engineering camp)

    ? Attendance at SEE is required

    ? Organize volunteers to participate

    ? Arrange plant tours and department presentations

    ? Publicize to high school students, forms a selection process, sends acceptance letters and registers participants

    ? Solicit funding for event

ADMINISTRATION

    ? Updates and organizes MS Access database and emails the CIS website schedule,

    company notes, and CIS notes to the committee regularly

    ? Makes corrections and changes to room reservations as per Secretary’s (Company)

    requests

    ? Makes CIS slips each week and updates CIS bulletin board in office

    ? Processes CIS registration and schedules rooms

    ? Publicizes CIS by flyering one day a week

    ? Responsible for aiding in CIS setup, cleanup, and remaining in SWE office during CIS

    one night each week

SECRETARY

    ? Works hand-in-hand with Administrator

    ? Voice/Face for committee to Industry (is the only direct “link” to Industry) stnd? Mails 1 and 2 email correspondence to companies, including invoices and confirmations

    ? Handles company questions, remittance, surveys, and problem letters

    ? Publicizes CIS by flyering one day a week

    ? Responsible for aiding in CIS setup, cleanup, and remaining in SWE office during CIS

    one night each week

FINANCE

    ? Updates MS Access database with financial information

    ? Creates CIS financial report and maintains ledgers

    ? Writes food checks each week

    ? Maintains PayPal and develops easier-to-use payment systems

    ? Publicizes CIS by flyering one day a week

    ? Responsible for aiding in CIS setup, cleanup, and remaining in SWE office during CIS

    one night each week

STUDENT COORDINATOR

    ? Recruits, organizes (including CIS board posting), and emails students (members and

    officers) who volunteer to set up and clean up

    ? Coordinates points for officers, notifies Membership Chair

    ? Motivates SWE members to volunteer for sessions

    ? Publicizes CIS by flyering one day a week

    ? Responsible for aiding in CIS setup, cleanup, and remaining in SWE office during CIS

    one night each week

PURCHASING

    ? Places food and pop orders each week

    ? Maintains supplies of plates, napkins, etc.

    ? Maintains relationship with food and beverage providers ? Gives receipt/invoice for food to Finance

    ? Updates contracts with food suppliers

    ? Publicizes CIS by flyering one day a week

PUBLICITY

    ? Coordinates and researches publicity opportunities

    ? Updates EECS atrium board and makes quarter sheets, diag boards, sign in sheets, and flyers for each week

    ? Emails College of Engineering about upcoming sessions

    ? Creatively markets and pulls in new companies and students ? Publicizes CIS by flyering one day a week

    ? Maintains CIS website

    ? Responsible for aiding in CIS setup, cleanup, and remaining in SWE office during CIS

    PUBLIC RELATIONS COMMITTEE OFFICER DESCRIPTIONS

PUBLICATIONS/HISTORIAN:

    ? Coordinates SWE Specialist, published at every meeting

    ? Provides Specialist articles to Website officer and ensures they are posted online ? Makes scrapbook at the end of his/her term

    ? Organizes SWE digital pictures on the SWE computer

    ? Aids PR Director with general meetings by flyering to publicize meetings and helping with meeting setup and cleanup

COMMUNITY RELATIONS CO-CHAIRS:

    ? Organize service events

    ? Organize SWE participation in North Campus Service Day, K-grams Kids Fair, Ronald McDonald House, Habitat for Humanity, Gandhi Day, and Neutral Zone Visits ? Organizes 5K Fun Run with ASME and must recruit a SWE subcommittee

    ? Car is recommended

COLLEGE RELATIONS CO-CHAIRS:

    ? Attends all UMEC meetings and relays information back to SWE

    Springfest, North Campus Festival, Winterfest, Engineering Week, Goodness Day, and other college wide activities; maintains SWE poster to advertise at booth ? Develops relations with other societies to promote their activities

    ? Works with Dance Marathon for special events

    ? Organizes Mr. Engineer and must recruit a SWE subcommittee

    ? Aids PR Director with general meetings by flyering to publicize meetings and helping with meeting setup and cleanup

SOCIAL:

    ? Organizes SWE Rock N’ Bowls (solo or with another society)

    ? Holds one social event per month

    ? Develops relations and participates in events with other non-engineering societies (USAC bar-night, Persian Show, Standing Night Only, etc)

    ? Aids PR Director with general meetings by flyering to publicize meetings and helping with meeting setup and cleanup

MEMBERSHIP:

    ? Maintains SWE’s membership database

    ? Sends membership forms to National SWE Headquarters

    ? Tracks membership involvement and elevated membership requirements

    ? Passes on members’ names to the secretary to add to email groups

    ? Passes on membership participation information to Website officer to post on the SWE website

    ? Passes on name of members who have attained elevated membership status to officers when needed

    ? Contacts members about any membership discrepancies

    ? Aids PR Director with general meetings by flyering to publicize meetings and helping with meeting setup and cleanup

WEBSITE:

    ? Maintains and updates the SWE website

    ? Reminds officers to send in information about their events (to be posted on the web) ? Manages and promotes use of SWE web page

    ? Adds SWE events to UMEC calendar

    ? Makes sure all information and links are up to-date

    ? Enters SWE in the National SWE Best Website Award

    ? Aids PR Director with general meetings by flyering to publicize meetings and helping with meeting setup and cleanup

RECRUITING:

    ? Support the College’s efforts to draw women to engineering and maintain diversity in COE and our own SWE chapter

    ? Support and work closely with the WIE and WISE offices (ex: phone call outs)

    ? Maintains relationship with other engineering minority organizations, especially NSBE and SHPE, including attending biweekly minority affairs meetings

    ? Organize discounted joint student membership between SWE, NSBE, and SHPE ? Creativity and enthusiasm are required to expand this new position
